Volunteer for Family Camp 2008

We are looking for Volunteers

We, Seth and Elana, are honored and excited to be part of a fantastic team that has been planning our 2008 Intergenerational Family Camp Village Experience (FC) in the Pacific NW and we are looking for volumteers to help us make Family Camp 2008 as wonderful as last year.

We are remembering our last year’s FC experience with so much sweetness and tenderness in our hearts. I, Seth, walked away from last year’s FC with the strongest sense of family I’ve ever experienced.  The bonds that formed among the staff have continued to be the deepest in my life. I found family at family camp.

This year the two FCs will be spread over a 3 week period (see dates below), creating a unique opportunity to LIVE community together while hosting two one-week-long FCs.

It feels incredibly important to us that there is a deep affinity, closeness, resonance, and synergy among the staff. We are looking for 20-25 people with a strong preference for people who are committing for the full duration.

We’re looking for folks who are on-fire with their deepest hearts passion; People who share our deep commitment and love for connection, authenticity, and choice; People who realize their greatest gift is their presence, open heart, and unconditional Love; People who are deeply committed to living in integrity with their deepest values and truths.

Dates:
Ideally we love it if every staff could be onsite from July, 26th 08, arriving in the afternoon at 5.00 pm to August 18th 08 leaving after breakfast. There is a 3 ½ day break between camp, which you are welcome to stay onsite.

The actual Camp dates for the participants are:

Seth and Elana

Outline of Organizational FC Structure

The intention with this outline is to contribute to needs that we imagine are alive:

Clarity and Order: knowing how the FC is run and where to go with requests. As much as possible making the structure and lines of power as transparent and accessible as possible to aid in your sense of choice and agency.
Support: to support you in plugging-in.
Efficiency: to work together with ease and grace and effectively as well as efficiently; and we hope to really honor and make the best use of your time, energy, love, passion, and skills in a way that deeply nourishes and inspires you.
Connection: YEAH!
Celebration: to celebrate what we have created and are continually creating (a work in progress.)

We are breaking it down into following steps:

  1. The FC team exists of a core team (umbrella team), which is made up of the leaders (champions) of the ‘sub’ groups.
  2. As we see it the ‘sub’ groups are:
    1. Ground team
    2. Finance team
    3. Registration/scholarship team
    4. Volunteer coordinator/Spirit team
    5. Kitchen team
    6. Youth team
    7. Adult training team
    8. Fundraising team
    9. Marketing team
  3. The core team meets via conference calls at the following dates:
    3/7, 3/28, 4/18, 5/9, 5/30, 6/13, 6/27
Phone number for the calls: 605 990 0200 (at the prompt add 1090345)
these calls are held at 9.00 am and last 2 hours, except the call on 3/7 is held at 1.00 pm.
  4. Anyone interested is invited to listen in the calls. 10 – 15 min. before the end of call: request for all participants on the call to share what they enjoyed, what was missing in the connection …. (observers are invited to share, to give feedback).
  5. The minutes of the call are collected in google docs and send to the core team and all people who are interested in coming to the FC: thus far: Barbara, Douglas, Maren, Mathew, Seth, Elana, George, Ashley, Holley H., Kristen J., Prem, Wendy, Laura, Rachel, Karl, Martina, Ben, Loren, Desiree, Rena. We will add people to that list as we get our volunteers signed in.
  6. The ‘sub groups’ are led by the following people:
    1. Ground team: Doug and Barbara
    2. Finance team: Doug and Elana
    3. Registration/scholarship team: Doug
    4. Volunteer coordinator/Spirit team: Seth and Elana
    5. Kitchen team: Barbara
    6. Youth team: Maren and Mathew
    7. Adult training team: Elana and Doug
    8. Fundraising team: ????
    9. Marketing team: ????
  7. It is our understanding that the lead people in these groups are carrying a strong voice. The team leaders have the most influence on what is happening and decided. The team leaders have chosen their position because of their passion, their deep commitment and the groups encouragement as well trust from each the individuals. The lead people are welcoming and encouraging your participation if you want the opportunity to influence something.
  8. The sub groups are organizing their meetings themselves. The purpose of the core team meetings is to bring all the information together, making major decisions, for connection, to celebrate and to welcome inquires/requests. Processing and discussions, as well as sub-groups related decisions will be done in the individual sub-groups.
  9. We welcome anyone who wants to influence or contribute to FC. We encourage everyone to participate by finding their voice, speaking up, and bring their requests to the team.  It is really important that each individual takes responsibility for her/his ideas by making clear, doable request and championing the proposals.
If you want the opportunity to influence or change something then we encourage you to:
    1. Get clear what it is you want to see different or added.
    2. Ask yourself, are you willing to champion it, lead it, or take responsibility for it getting done (or find someone who is)?
    3. Make a clear, doable in the present moment, positive request to the sub-group(s).
    4. The sub-group leader or you will then bring it to the core team.
    5. Follow up that it is completed to your satisfaction.
  10. The reason for the above is so that proposals are not dropped on the core team with the implicit assumption that we'll make it happen. We want to empower people to really own and take responsibilities for their ideas. It is your idea - you're the person we see as being best suited for keeping it alive and has the most juice for it.  If you have an idea and are unsure about how to make it happen, please ask someone to support or encourage you.

To the best of our knowledge and ability we are making decisions based on the sociocratic decision making process.

Besides the nuts and bolts of the organizational structure, is the NVC consciousness, intentions, and values - which are the foundation for everything we do.  To summarize those very briefly: acting and engaging with the process out of a sense of connection, choice fullness, and authenticity ….

We hope this is of use to you and gives you more insight into our structure. If you have any further questions related to this topic please connect with one of the Volunteer/Spirit Team lead people (Elana and Seth).

Warmly,
Seth Scholfield and Elana Sabajon
